Appointment & Cancellation Policy
The rhythm of how we work together · Dr. Lyndsey | Ecology of Care
Care works best when it has room to breathe. This policy keeps our schedule steady and fair — so the time we set aside for you is truly yours, and so someone else can be seen when plans change. Thank you for reading it; booking a visit means you agree to it.
Scheduling
You can book online through our patient portal. New-patient visits are longer than follow-ups, so please choose the right visit type. For in-person visits, plan to arrive about ten minutes early; for virtual visits, log in a few minutes ahead so we can start on time.
Getting in touch between visits
The patient portal is our secure home base for everything — self-serve booking and cancellation, and any question between visits. Please keep communication in the portal so it stays private and nothing gets lost; I reply within 24–48 business hours. Standard text and email aren’t secure, so please don’t send health details there. For a genuinely urgent, time-sensitive matter you may text 541-224-7012 (it’s just me, so please reserve it for true urgency); in an emergency, call 911. Questions that need real clinical attention are best served by a visit rather than a long message thread, and messages requiring more than about five minutes of clinical time may be billed at the $89 virtual-care rate. (See our full Communication Policy for details.)
Preparing for virtual visits
For telehealth visits, please complete your brief intake form and share any relevant labs, imaging, medications, and questions at least 48 hours before your appointment, so I can prepare. Patients who routinely do not complete these steps at least 48 hours in advance may be charged the full service fee even if care cannot be rendered.
If you need to change or cancel
Please give at least [24 / 48] hours’ notice to reschedule or cancel, by messaging through your portal or calling 541-224-7012. That window lets me offer your spot to someone who is waiting. Life happens — a sick kid, a flat tire, a hard day. I understand, and I aim to be human first and fair to everyone holding a place on the calendar.
Late cancellations & missed visits
Cancellations inside the notice window, and no-shows, may be charged [a $__ fee / the full visit fee]. A visit is counted as missed if we don’t connect within [15] minutes of the start time. Because I hold dedicated time for each person, repeated late cancellations or missed visits [more than in a -month period] may mean we pause booking until we can talk about what would help.
After hours
This is not urgent or emergency care. For non-urgent questions, message me through the portal and I’ll respond within [2–3] business days. If you are having a medical emergency, call 911 or go to the nearest emergency department or urgent care.
With care,
